Conference and Summit Management
Hall layout, stage and technical production, accreditation and session management for conferences, congresses, summits and panels.

Organisation for Conferences, Congresses and Summits
A smooth programme at a congress or summit depends on the hall layout, the technical set-up and the flow of participants. We plan every stage of the event, from the session programme and speaker coordination to registration, accreditation and the stage.
We work on conferences, panels, forums and summits, and set up hybrid events that bring the programme in the hall to online participants. We can take on the whole congress or provide only the stage and technical production.

Build the Event Around the Programme People Will Attend
A keynote, panel discussion and workshop need different room arrangements and different preparation. We start by looking at the programme with your organising team: which sessions belong together, where interaction matters and how much time people need between rooms. The production plan follows those choices.
Flex Event brings stage design, technical production, event content and guest operations into an agreed conference scope. Your team remains responsible for the subject matter and speaker selection; we prepare the setting and delivery requirements around the approved programme. If you already have an agenda and venue, we can focus on the production and operational work still needed.
Working languages and interpretation requirements are established early, alongside speaker arrivals, rehearsal times and presentation deadlines.

Six Parts of Conference Preparation
Programme and Room Use
We map the plenary sessions, breakouts, networking periods and breaks against the available spaces. Each session has a purpose and a realistic changeover. Room layouts account for sightlines, audience questions and the equipment needed, helping your programme team see where the agenda places demands on the venue.
Stage Design and Audience Experience
The stage, backdrop and screens are planned as a single presentation setting. We consider what guests can see from different seats and how speakers enter and leave. Furniture changes for a panel or interview are included in the running order, with time and crew allocated.
Speaker Preparation and Content
Presenters receive the agreed technical requirements and submission dates. Slides, videos and screen formats are reviewed before the event, while rehearsals cover microphones, presentation controls and stage movement. Your content owner approves the final material and any changes to names, titles or session information.
Sound, Lighting and Presentation Systems
Equipment is selected for the room, audience and session format. A panel needs a different microphone plan from a single keynote, and workshops may need their own setup. We define the technical crew, operating periods and testing requirements in the scope, including any agreed remote participation.
Registration and Delegate Movement
Arrival information, welcome desks, badges and room signs should help people find the right place without repeatedly asking for directions. We plan staff positions around registration peaks and programme transitions. Interpretation or accessibility needs are reviewed with the relevant specialists and venue as part of preparation.
Session Delivery and Event Records
A detailed running order connects the stage, technical desk and guest team. We identify how programme changes are approved and communicated. Agreed photography, filming or session records are planned before the event, including the brief, capture requirements and the material your team expects to receive afterwards.
