Hostess and Event Staff

Hostesses, welcome staff, stand staff and registration staff for trade fairs, launches, congresses and corporate events.

Staff for Your Events

The team that first welcomes and guides guests has a direct effect on how an event runs. We provide hostesses, welcome staff, stand staff and registration staff for trade fairs, launches, congresses and corporate events.

We plan staff around the type and length of the event and the job description, brief them before the event and coordinate them throughout. Staff can be commissioned on their own or together with the whole event.

Event Registration Staffing Starts with the Arrival Pattern

A conference where most delegates arrive together needs a different reception plan from a launch with staggered invitations. Consider when people arrive, what they need to collect and which questions may delay check-in. VIP guests, speakers, media and general attendees may each require different information or access instructions.

The desk layout should make those differences easy to manage. Guests should be able to recognise the right queue, reach a member of staff and continue towards the next activity. An enquiry position can handle missing names or invitation questions without stopping every other arrival. The number of desks and staff follows the expected workload and available space.

Flex Event can coordinate reception personnel, accreditation preparation and guest direction within the agreed event scope. If you already use a registration platform, we work from its confirmed process and access arrangements. Software, badge equipment and specialist functions are identified separately; a staffing proposal does not assume that a new registration platform is included.

Six Parts of a Useful Guest Reception Service

  • Guest Categories and Arrival Brief

We identify the groups attending, their expected arrival times and the information staff need to check. Your team confirms guest names and access decisions. This creates a practical reception brief that distinguishes normal check-in from enquiries requiring an organiser's decision.

  • Check in Desks and Queue Layout

Desk positions, signage and waiting space are planned around the entrance and onward route. We consider where guests collect badges or materials and where companions wait. Venue access requirements and clear circulation remain part of the layout review before furniture is ordered.

  • Badges and Accreditation Preparation

The brief defines badge categories, approved fields and any production equipment required. Names, spelling and access information are checked through the agreed approval process. Staff receive clear instructions for corrections and reprints, including who can authorise a change to an attendee's access.

  • Reception and Room Personnel

Roles can include welcoming guests, directing movement, supporting meeting rooms and assisting speakers. We agree language needs, appearance, shift times and break coverage. Each role has a defined purpose, so specialist technical, security or medical responsibilities are assigned to the appropriate teams.

  • Briefing and On Site Communication

Staff need the programme, room locations and a reliable contact for exceptions. We prepare a briefing around common guest questions and the event's actual layout. A team lead can receive updates and pass them to the relevant positions as the programme develops.

  • Information Handling and Closing

Guest lists are shared only through the agreed channels and for the assigned work. The organiser defines the relevant information-handling instructions and permissions. After the event, issued materials, equipment and agreed attendance records are handed over, with outstanding guest issues directed to your nominated contact.
