Festival: Arnavutköy Ramadan events site

Organisation for Festivals and Open Air Events

Festivals welcome large numbers of visitors over several days and bring together a stage programme, exhibition areas and family activities. We manage the whole process, from the site plan and stage programme to exhibition areas and on-site operations.

Istanbul Youth Festival, Digital Art Fest Istanbul (IDAF) and Arnavutköy Municipality's Ramadan events are among our festival and municipal projects.

Plan the Whole Site Around the Programme

A festival may bring together live performances, brand activities, workshops and hospitality. Those elements share the same space and resources: a sound check affects another activity, deliveries cross working areas, and the audience moves as the programme changes. We consider these relationships when developing the layout and schedule.

The brief establishes the type of festival, expected attendance, programme and opening hours. We then define the stage and technical needs, guest-facing areas and supplier work. A company or customer festival can use the same planning discipline while giving its audience a more informal setting for meeting, participating and spending time together.

Location requirements and specialist services are reviewed with the venue, organisers and appointed providers. The proposal makes responsibilities clear, including the decisions and professional assessments needed before the site opens.

Six Parts of Festival Delivery

  • Programme and Stage Schedule

We connect performances, presentations and audience activities in a working timetable. Setup, sound checks and changeovers receive their own time. Artist and presenter requirements are gathered from the appointed contacts so the technical team can assess what each part of the programme needs.

  • Site Layout and Audience Areas

Entrances, stages, activity zones and places to sit are considered together. The layout also allows for working access and service needs. Crowd arrangements, accessibility and any specialist site requirements are reviewed with the appropriate providers and authorities for the chosen location.

  • Stage and Technical Production

Sound, lighting, screens and staging are specified around the programme and audience areas. The scope identifies equipment, operators and installation needs. Outdoor conditions and contingency arrangements are assessed with the technical specialists, with decision responsibilities established before the festival begins.

  • Sponsor and Brand Activities

Sponsor spaces need to fit the festival without interrupting movement or neighbouring sessions. We prepare the agreed display, graphics and activation requirements around each approved brief. Setup access, power, staffing and operating times are included so these areas can function alongside the main programme.

  • Suppliers and Site Operations

The delivery schedule connects installation teams, equipment suppliers and guest services. We define contact points, work areas and the sequence of arrivals. Staffing, cleaning, hospitality and specialist services are included according to the agreed scope, with the responsible provider identified for each task.

  • Live Management and Site Handback

The operating plan gives teams the programme, reporting route and agreed response arrangements. Changes are communicated to the people affected across the site. After the event, dismantling, collections and venue handback follow a planned sequence, with retained materials and project records identified before the site is cleared.
