CES Las Vegas Exhibitor Guide & Booth Planning
Prepare a booth where people can try the product, understand its purpose and ask the next question. This CES Las Vegas exhibitor guide connects the demonstration experience with the practical details of a large, multi-venue event.

CES booth planning begins with the assigned venue
CES takes place across several Las Vegas locations, grouped into the LVCC, Venetian and C Space campuses. A booth, meeting room or hospitality suite can involve different access arrangements and service instructions. Confirm your assigned venue and the corresponding exhibitor manual before finalising the design, booking deliveries or scheduling meetings elsewhere in the city.
CES is a trade event with separate registration requirements for industry attendees, media and exhibitor personnel. Your booth team should use the correct exhibitor registration process. Applications and admission are handled by the organiser; arranging a stand or travelling to Las Vegas does not replace those requirements.
Flex Event can help develop a booth and event support brief around the way you want to introduce your technology. Retail discussions, partner meetings and media demonstrations may require different presentation lengths and settings. We connect the booth layout, equipment, graphics and working schedule with your approved product story. The proposal identifies coordination responsibilities and services that must be supplied by the relevant venue or appointed contractor, with technical details confirmed before production.
Six parts of a CES booth preparation plan
Product demonstration and visitor experience
Choose the action visitors should be able to see or try, whether it is controlling a connected device, viewing an image or testing a new interface. We plan the display around that sequence. Space for waiting, explaining and resetting the product helps the next demonstration begin without disrupting a conversation already in progress.
Booth construction and service requirements
The assigned venue's manual guides the build plan, technical orders and access schedule. We identify which production and installation activities can be included in the proposed scope and which require designated providers. Material handling, electrical work and other venue services should be reviewed individually, with their costs and ordering responsibilities made clear.
Screens, sound and technical rehearsal
We plan screen positions and presentation equipment around viewing distance, content and nearby conversations. Your technical team supplies connection, power and software requirements. Preparation includes testing devices, checking the approved content and deciding how to explain the product if the live demonstration cannot run as expected during a particular appointment.
Media and buyer conversations
A short filmed demonstration and a detailed retail meeting need different conditions. We can plan a clear product presentation point and a quieter discussion area where space allows. Your team supplies approved launch statements, specifications and availability information; invitations, press opportunities and meetings depend on the relevant parties' confirmation.
Freight and prototype handling
Demonstration units should be identifiable, protected and scheduled to arrive before technical testing. Your appointed freight and customs specialists confirm documents, temporary entry options and return requirements. Batteries or other items requiring special transport arrangements should be identified early. We connect their confirmed delivery information with booth access and receiving arrangements.
Team schedules and multi-venue meetings
Appointment planning should allow for travel between locations and maintain booth coverage while colleagues are away. We define reception, demonstration and meeting roles, with personnel or travel coordination included where agreed. Booth handover, daily equipment checks, dismantling and return collections are linked to the relevant venue's operating schedule.
