Trade Show Booth Design and Build in the USA

A US trade show booth budget needs to cover the exhibit and the work required on site. Design, fabrication, rental, freight, material handling and installation may sit in different quotations. Addressing these in the brief helps you choose a booth your team can operate and your budget can support.

A design that looks economical in production can cost more once crates, assembly time and show services are included. Compare the full scope before choosing a custom exhibit, rental components or a combination. An existing display may be worth reusing, but its packing dimensions, condition and adaptation needs still belong in the estimate.

Flex Event can prepare a booth design and production proposal for your US exhibition, with the local supplier and installation scope defined for the project. We use the confirmed booth allocation and current exhibitor manual to establish what is included, what requires a separate order and who carries responsibility for each task.

The show’s own arrangements are essential here. CES provides exhibitor manuals by venue, and McCormick Place publishes information on service responsibilities and labour arrangements. These are examples of why a previous event’s assumptions should not be used as a nationwide rule. The proposed work needs to fit the actual exhibition, venue and appointed contractors before the booth moves into production.

Six items to define in your US booth proposal

  • Booth dimensions and display format

Work from the allocated dimensions and the organiser’s description of the booth type. We translate the brief into product positions, demonstration space, meetings and storage. Where your team works in metric units, the drawings should make the conversion explicit so fabrication details are not based on rounded floor-area assumptions.

  • Rental and custom construction options

Identify which features are essential to your product presentation and which can use standard components. A tailored demonstration counter may matter more than a custom meeting table. We can describe the alternatives with their materials, dimensions and included work, allowing you to compare a rental-led proposal with a more extensively fabricated exhibit.

  • Freight and material handling

A transport quotation and delivery inside the exhibition venue are not automatically the same service. The budget should identify arrival arrangements, handling assumptions, empty-container storage and outbound collection where applicable. For imported exhibits, your logistics and customs specialists establish the shipment requirements; the booth plan uses their confirmed delivery and return arrangements.

  • Installation labour and contractor tasks

The proposal identifies who assembles the booth, positions exhibits, connects equipment and supervises handover. Applicable contractor requirements and permitted work are checked against the current show information. Labour estimates should state the assumed working periods and installation sequence, particularly where delayed freight could affect the time needed on site.

  • Power, screens and demonstration content

Define equipment needs before ordering services. We plan screen placement, lighting, cable routes and content around what the audience will see and do. Any network-dependent demonstration should have its connection needs stated clearly, while the presentation schedule leaves room for testing with the equipment intended for the show.

  • Handover and outbound instructions

Opening readiness includes product placement, presentation checks and a team briefing, as well as completion of the structure. The closing plan identifies rental returns, items to be packed and materials retained for another event. We can include these responsibilities in the project scope so the departure process is clear before the final show day.
