Exhibition Stand Design and Build in Europe

An exhibition stand should help visitors understand your products and give your team a practical place to work. For a European exhibition programme, the design also needs to account for different floor plans, venues and schedules. Start with those requirements before deciding what to build, rent or reuse.

One brand, with a layout that fits each exhibition

Taking the same brand to several European fairs does not mean every stand needs the same footprint. You may have an open corner in one hall and a narrow space between neighbouring stands at the next event. Keep the recognisable parts of your presentation consistent, while allowing the product displays, meeting areas and storage to change with the space.

Flex Event can develop the design and production brief for a European project, including the local supplier work needed at each destination. We begin with your confirmed floor plan, product list and budget range. The proposal explains which elements are custom made, rented or intended for reuse, and how graphics and equipment fit the overall design.

Technical assumptions also need to be confirmed for every venue. Fira de Barcelona’s participation information provides separate technical regulations for its Gran Via and Montjuïc sites, illustrating why an approval or installation plan should not simply be carried from one location to another. The current organiser documents form part of the brief for each show.

Six decisions behind a European stand programme

  • A layout built around your products

Tell us what visitors need to inspect, touch or watch. We arrange product displays, meeting space and storage around those activities and the stand’s open sides. A short demonstration should have an obvious viewing position, while a booked conversation needs room to continue without blocking the aisle-facing display.

  • Custom production, rental or a combination

A custom counter may support a specific product, while rented furniture may cover routine meeting needs. We describe those choices in the proposal, including finishes and dimensions. This gives you a clearer basis for comparing costs than a visual alone, particularly when suppliers suggest different construction methods.

  • Elements that can be reused

Reuse starts with deciding what remains useful at the next event. We can assess removable graphics, repeatable display units and components that fit different layouts. The budget should include packing, storage, handling and any refurbishment, alongside the initial production cost, before a reusable option is selected.

  • Graphics and presentation equipment

Large graphics introduce the company; closer product information supports the conversation. We plan their positions together with screens, lighting and cable routes. For several countries, artwork versions and languages need an approval schedule so the correct files reach each producer without changing the physical design unnecessarily.

  • Production and site responsibilities

The project scope identifies who supplies each element, who installs it and who handles the venue orders. Local production options are assessed against the agreed design and event conditions. Where items cross borders, appointed logistics and customs specialists confirm the shipment requirements; their advice informs the packing and delivery schedule.

  • Handover, dismantling and the next show

Include time to place products, test content and brief your team before visitors arrive. At the end, identify what returns, what stays in storage and what is no longer needed. We can plan these stages with the suppliers appointed for the project, rather than leaving reuse decisions until the stand is being dismantled.
